  • Purpose Of The Job

    The Assistant is responsible for greeting visitors, handling inquiries from the public and providing information related to the company, and general administrative support.


    • Greet visitors as they enter into the company and direct to correct destination
    • Deal with queries from customers and from the public
    • Assist Customers via chat and e-mail as needed.
    • Assist the management team in CS with administrative support.
    • Schedule interviews between candidates and interviewing teams
    • Maintain weekly/monthly/yearly reports as defined
    • Prepare necessary documentation and forms
    • Compute Schedule to Adherence Statistics and report to CS staff
    • Request background checks and arrange for testing
    • Other Administrative assignment depends on business needs
    • General administrative and clerical support
    • Receive and sort mail and deliveries
    • Filing and data entry
    • Play a minor security role by monitoring access to the building by visitors
    • Keep the reception, lobby, and conference rooms well organized, neat and tidy
    • Preparing coffee service at certain locations as well as keep the kitchen/lunch area stocked with supplies (coffee, sugar, cream, paper plates, etc.)

    Minimum Requirements & Special Attributes

    • High School diploma or equivalent experience
    • 1 to 2 years working as a Administrative Assistant
    • Knowledge of clerical and administrative procedures
    • Must be professional in appearance and demeanor
    • Familiar with general office equipment, including phones, faxes, copiers, scanners and printers
    • Familiarity with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
    • Ability to multi-task and handle multi phone lines
    • Excellent verbal and interpersonal communication skills
    • Must be organized and detail oriented
    • Excellent customer service orientation

    Essential Mental and Physical Functions

    Mental Functions:
    Decisions generally affect own job or specific functional area. This position is assigned duties
    according to specified procedures and work is checked frequently.

    Physical Functions:
    Sitting required 90% of the time. Walking and standing required 5% of the time respectively. No
    heavy lifting required. Constant working on a computer.

    Equipment Used

    Standard office and computer equipment including MS Office software.

    Work Environment

    Office cubicle environment with minimal exposure to the environment or health hazards.

    Language Skills

    Must be able to speak, read, write and comprehend English.
